Responsibilities
We are seeking a highly motivated Customer Service Specialist to join our team. In this role, you will serve as the primary point of contact for both external trade customers and internal partners, ensuring seamless execution of pre-sales and post-sales service functions. You will leverage your strong customer service skills, problem-solving abilities, and knowledge of order fulfillment processes to deliver exceptional service and support.
Key Responsibilities
- Interface with customers, logistics, manufacturing, and sales/service representatives to support a wide range of service and order-related functions.
- Provide front-line phone support, responding promptly to customer inquiries in Portuguese, Spanish, and English.
- Manage end-to-end order fulfillment processes, including booking, processing quotes, monitoring inventories, and coordinating product deliveries.
- Respond to and resolve customer service requests such as order status updates, repair/calibration requests, product changes or returns, invoicing, contract administration, and lease management.
- Act as a team lead when required, supporting colleagues with order bookings and quote processing.
- Evaluate customer service requests and determine appropriate actions using established policies, procedures, and tools.
- Address complex administrative problems by applying breadth and depth of customer service knowledge.
- Collaborate with cross-functional teams to resolve issues and improve customer experience.
- Ensure compliance with trade, logistics, and company regulations while maintaining accurate documentation.

Qualifications
- Education & Training: Bachelor's degree in Business, Supply Chain, International Relations, or related field; or an equivalent combination of education and specialized training/certification.
- Experience: Minimum of 3-5 years of relevant experience in customer service, order fulfillment, logistics, contract administration, or a related area.
- Language Skills: Must be fluent in Portuguese, Spanish, and English (both written and verbal) to effectively communicate with a diverse customer base and internal stakeholders across regions.
- Technical Knowledge:
- Strong working knowledge of ERP/CRM systems, order management platforms, and MS Office applications.
- Familiarity with international trade compliance, invoicing requirements, and accounts receivable collections.
- Customer Service Expertise:
- Proven ability to evaluate complex service requests, analyze issues, and implement customized solutions.
- Demonstrated success in handling end-to-end order fulfillment processes, including repair/calibration requests, product changes, and returns.
- Problem-Solving & Analytical Skills:
- Ability to resolve complex administrative challenges using breadth and depth of customer service knowledge.
- Strong attention to detail, with excellent organizational and time-management skills.
- Collaboration & Leadership:
- Experience working cross-functionally with logistics, manufacturing, and sales/service teams.
- Ability to act as a team lead, mentor, or subject matter expert when required.
- Additional Competencies:
- Strong interpersonal and communication skills to build trust with both internal and external partners.
- Ability to thrive in a fast-paced, global, and multicultural environment.
- Adaptability and resilience when handling competing priorities and deadlines.
This role involves being on-site at the Brazil office one day each week.
